Application instructions for outgoing exchange students

Log in

  1. Go to: SoleMove start page. Please make sure to only open Solemove in one tab.
  2. Choose Umeå University from the dropdown list.
  3. Login using your umu-id.

If you haven’t already decided where you want to go, you can search for different options via:

Create and submit an application

Does your view look different in Solemove than the image to the right? This may be due to the fact that you previously received a salary from Umeå University or that you are partly employed as a teacher. If so, please contact Solemove@umu.se before creating your application.

Step 1. Create a new application

Click ‘Create new application’ under the headline ‘My applications’. 

Step 2. Fill in basic information

Fill in Basic information for your exchange. Under Application type, choose ”Normal student exchange”. Under Mobility type, select ”S-Study”.  Select Application period in the drop-down menu. Be sure to select the application period you intend to apply for. There may be several calls for applications/application rounds open at the same time. Click ‘Save’.

Personal data

For Erasmus exchange students: If your application is for an exchange within the Erasmus programme, some of the information you add under Personal data and Current studies in your application will be transferred to your Online Learning Agreement. It is therefore important that you fill in this information correctly, as it can be difficult to change it afterwards.

Step 3. Fill in personal data

Fill in the mandatory fields with the required information – marked with an asterisk (*).



Important!
Make sure to fill in your name as stated in your passport (all names). Write your given name(s) /first name(s) in CAPITAL LETTERS. Please fill out your information carefully since the information on Solemove is the information that will be used in all future contact with the host university, if you were to receive a nomination.

Please Note! Click ‘Save’ when all required fields are filled in.

Step 4. Fill in the nomination round and contact person

Home institution information
Go to the “Home institution information tab” by clicking the arrow.
Select “Unit responsible for the nomination round” by clicking the plus icon.
Choose the department/faculty from the list that ‘owns’ the application round. Please note, it must be the same department/faculty as indicated in the Application period field, found at the top of the page.
Important! Umeå University should only be selected when applying for the university-wide exchange places.  If you choose the wrong department, your contact person will not be able to see and process your application.
Click ”Select”.

Departmental/Study counsellor: Fill in the contact information to the department’s coordinator. Click ’Save’.

If you are uncertain about what informatoin you need to fill in, contact the International Contact Person at your deparment.

Step 5. Fill in information about your studies

Go to the Current studies tab. Fill in the information, or select from the drop-down menu where available, under the following headings:

Current level of studies: Select your level of studies at the time of this application on Solemove.

Level of studies during the exchange: If you can study different levels of study (e.g. either bachelor’s or master’s), please specify this under ‘Additional Information’, found on the next page.
 
EU subject area at home: Choose from the drop-down list.
OBS! If you are applying for an Erasmus exchange, you will need a four-digit code for your Online Learning Agreement to be valid. If you are unsure which code to choose, contact the international contact person at your department. For exchange places other than Erasmus, it is not as important which code you choose, as long as it is reasonably consistent with what you are studying at Umeå University.

Current programme: Write your study programme. If you are not registered within a study programme, please enter your current course.

Which year you are currently studying:
E.g. if you are studying your 1:st year, write 1, etc.

Language knowledge
(Obligatory): Choose the language of instruction for your exchange as the first language on the list. For English, B2 is recommended. Add another language if needed/wanted. If you want to add Swedish, put that last.

Previous exchange: If you have previously been on exchange, please write the University and semester you attended.

Click ”Save”. 

Step 6. Semester and choice of university

Go the Exchange information tab.  

Duration of exchange: choose from the drop-down menu. Important! Please only use the set semesters in the application form even if the universities that you are applying to have different semester dates than Umeå University. Do not choose ‘Other’.

University selection (ranked in Order of priority):  

  1. List your selection of universities in order of priority. Important! If you apply for exchange places under the university-wide agreements, you can apply for a maximum of four destinations. If you apply for departmental or faculty-linked exchange agreements, you will need to check with the International Contact Person at the respective department if there are any limitations to how many destinations you can apply for.
  2. Choose ‘Normal’ type of exchange.
  3. Choose ‘Country’ from the drop-down list. Choose ‘University’ by clicking the +icon. Only the available university/ies in that country will show up. Click ‘Select’ and then ‘Save’.
  4. Add another university by repeating the procedure. To remove the destination, select the delete icon. To edit the destination option in the list, select the edit icon. You can change the priority by clicking on the arrows next to the name of the country.
  5. Click ”Save”.
  6. (If applicable) Additional information: in case you are in need of additional support from the partner university, write what kind of support you require.
  7. Click ”Save”. 

Step 7. Enclosures

Go to the ‘Enclosures’ tab

If you apply for the university-wide agreements you need to submit the following documents:

For exchange studies outside of Europe

  • Complete study plan
  • Buddy Programme certificate (if applicable).
  • Language test (Only if you do not have English grades from a Swedish upper secondary school). Please upload the documents under the blue tab “enclosures”

For exchange studies through North2north

  • Complete study plan and letter of motivation.
  • Example of letter of motivation can be found on UArctic’s webpage.

For exchange studies in Europe  (Nordlys and other university-wide agreements) 

  • Complete study plan
  • Language test (Only if you do not have the required language grades from a Swedish upper secondary school). Please upload the documents under the tab “enclosures”
  • If you apply for departmental or faculty-linked exchange agreements, you will need to check with the International Contact Person at the respective department, which documents need to be submitted.

Step 8. Check and send your application 

Go to the tab ‘Check and send application’

This tab displays the status of all other tabs so that you can quickly see if your application is considered complete by SoleMove (i.e. all the mandatory fields have been filled in). Press the Send application button and you will get a message if you want to send your application and after that a notification ‘Application sent!’ in the upper right corner. You cannot edit your application after it has been sent.

The review process for all applications received begins after the application deadline and takes several weeks. During this time, you can log into SoleMove and track the progress of your application.

The status ‘Application received’ and ‘Processing’ indicates that someone has opened your application for review and is processing your application. Once the application has been processed, you will receive an email informing you of the outcome.

Step 9. Respond to your application result

Once all applications have been reviewed, you will receive an email with the outcome of your application. Your application will either be ‘Accepted’ or ‘Rejected’.

If your application has been accepted, when the e-mail has been sent to you with our decision, your application status will change to ‘Acceptance information sent’. You will now have to log in to SoleMove to ‘Confirm’ or ‘Cancel’ your application in SoleMove.

Note that you usually have seven days to decide whether to accept or decline the offer, so check your emails regularly to make sure you don’t miss the deadline!

Once you have received the outcome, your department’s international contact person will continue to process your application and nominate you to one of our partner universities/organisations. This process will vary depending on your department and the destination.

Follow these steps to log in to confirm or cancel your exchange:

  1. Log in to SoleMove and open your application.
  2. Click on ‘I confirm’ to accept the result of your application, or click on ‘I cancel my application’ if you wish to withdraw your application/reject the result.

Step 10. Download relevant certificates and documents  

Once you have confirmed your exchange, three documents will automatically be generated in your application:

  • Your nomination letter. This can be used, for example, as a proof of your exchange if you want to rent your apartment.
  • An English language certificate. This can be used to demonstrate that you meet the English language requirements. However, please note that some partner universities may require you to take an official English language test.
  • An insurance certificate. This contains Umeå’s University’s insurance policy number from Kammarkollegiet (the Legal, Financial and Administrative Services Agency).

You should download and save all documents to your own device for future reference and easy access.
